At Select Medical we are committed to maintaining the trust and confidence of our customers, suppliers, visitors to our website and subscribers to our newsletter.  In particular, we want you to know that Select Medical does not sell, rent or trade email lists with other companies and businesses for marketing purposes. In this Privacy Policy you’ll find information on how we treat your personal information when you make contact with us, use one of our services or buy a product from us.

To ensure products/services are delivered to you, Select Medical must process personal data – in doing so, Select Medical acts as a data controller.

On occasion, Select Medical also acts as a data processor on instruction from data controllers.

Customers

1.0 Collection of personal data

  • You may give your personal details to Select Medical directly, such as by purchasing a product or service from us. This information may be collected on paper, online forms, by telephone, or email; or,
  • In some circumstances, where purchases/services are provided in a B2B context, your personal details may have been provided to us by another person in your company to offer and / or perform a contractual obligation between Select Medical and your company;
  • Where a company purchases a product /service on behalf of a client limited details may have been provided to us about you (the client) e.g. name, address for delivery

The types of data we collect are dependent on product / service required but,

  • Governing or certification bodies and authorities as required by law;
  • Our software providers;
  • Third party, where necessary to protect your vital interest, e.g. emergency services;
  • Marketing technology platforms and suppliers;
  • Data processors for the purposes of credit checks and/or delivery.

1.3 Data access, restriction and retention

We store information about you in both electronic and written formats. Where we store written information it is stored in locked cabinets within our offices. Office access is restricted to employees and authorised authorities only e.g. for auditing purposes etc.

Only authorised members of staff are given login credentials to our network and they are only granted the access they require to fulfil their role within the company. Any data stored off-site, e.g. off-site hosted servers are GDPR compliant.

The Company will retain your personal data only for as long as is necessary. Different laws require us to keep different data for different periods of time e.g. 10 years for medical products sale traceability, 7 years tax information etc.

Different products/services purchased also require data retention for different periods e.g. for the lifetime of that product to ensure your customer rights and/or servicing requirements are met.

  • You may give your personal details to Select Medical directly during the course and management of a supplier agreement. This information may be collected by email or phone.
  • In some circumstances your personal details may have been provided to us by another person in your company to offer and / or perform a contractual obligation between Select Medical and your company.

Visitors to our website

3.0 Collection of personal data

When someone visits www.selectmedical.co.uk we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If you fill in a form on our website, and give your name or contact email / phone number through our website, we collect and record this information. We do this for a few reasons; for the purpose of fulfilling your request or query and to be able to contact you if we need to obtain further information. We do not rent, trade or sell this information on to any third parties.

Select Medical store information about you electronically. Office access is restricted to employees and authorised authorities only e.g. for auditing purposes etc.

E-newsletter sign-up

4.0 Collection of personal data

As part of the registration process for our e-newsletters, we collect personal information. We use this information for the purpose of sending you our e-newsletter. We don’t rent or trade email lists with other organisations and businesses.

We use a third party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice.

Visitors to our offices

When visiting our offices, people are required to sign-in giving name and vehicle registration. This information is stored for your safety, whilst on site in case of emergencies. This information is shredded at the end of each month.

Job applicants

When applying for a job, CV’s are collected and stored securely in locked cabinets or stored electronically. CV’s are retained for a period of 12 months only, unless specifically requested to be kept on file, and then deleted/shredded.

Information on Select Medical as a Data Processor

5.0 Collection of personal data

As a data processor limited personal details are supplied to us for the purposes of delivering/servicing/repairing medical equipment. This information is supplied to us via secure web based email. Only 2 members of Select Medical staff have access.

The data we collect is limited to:

  •  Contact name
  • Delivery address

5.1 Sharing your information

Select Medical does not pass on or sell personal data to third parties. Select Medical does not engage sub-contractors for Installation & Collection, Service, Repair or Cleaning & Decontamination. In the event that items may be couriered to a client:

  • Only data explicitly required to carry out the delivery will be used.
  • Only vendors who are GDPR compliant and have provided statements of conformity to GDPR legislation will be used.

5.2 Data access, restriction and retention

Select Medical store information in both electronic and written formats.

  • Worksheets are completed at the point of customer request and remain within the office in locked cabinets.
  • This data is passed in written format to engineers to complete the work. The engineers schedule is shredded on completion of the work.
  • For each job attended a written record is stored in locked cabinets and on our internal database.
  •  Access to the database is restricted to employees who are involved in the work process.

Select Medical will retain personal data for 10 years to meet medical device regulations and to ensure your customer rights and/or servicing requirements are met.

Security to prevent the loss, misuse or alteration of your information

We are committed to taking all reasonable and appropriate steps to protect the personal information that we hold from misuse, loss, or unauthorised access. We do this by having in place a range of appropriate technical and organisational measures:

  • encryption of our services and data;
  • review our information collection, storage and processing practices, including physical security measures;
  • restrict staff access to personal information with only those who need to know to carry out their duties;
  • shred all paper copies containing personal identifiable information (if not required to be held for legal/contractual reasons);
  • internal policies setting out our data security approach and training for employees.
